This privacy policy explains how SOULX collects, uses, and protects your personal data when you visit our website or get in touch with us. We keep it plain and honest, because that is how we work.

1. Who we are

2. What data we collect

We only collect what we need. Depending on how you interact with us, that may include:

  • Contact details you give us. When you fill in our contact form, we collect your name, email address, phone number (optional), company name (optional), and the message you send us.
  • Communications. If you email us directly, we keep that correspondence so we can help you.

We do not run advertising trackers, analytics pixels, or third-party marketing cookies on this website. The only cookies we use are functional ones (see section 6).

3. How we use your data

We use the information you provide to:

  • Respond to your enquiry and discuss whether we are a good fit to work together.
  • Follow up on a conversation you started with us.
  • Keep a record of leads and enquiries so we can manage our pipeline.

We will never sell your data, and we will not use it for unrelated marketing without your clear permission.

Under the GDPR, we process your contact data on the basis of your consent (you chose to contact us) and our legitimate interest in responding to enquiries and running our business.

5. Where your data goes

When you submit the contact form, your details are:

  • Sent to us by email via Google Workspace, so we can read and reply.
  • Stored in a private Google Sheet that only we can access, so we can keep track of enquiries.

These services are provided by Google. We do not share your data with any other third parties for their own purposes.

6. Cookies

This website uses a small number of functional cookies only:

  • A cookie that remembers your chosen language (NL, DE or EN).
  • A cookie that remembers your choice on our cookie notice, so we do not ask you again.

We do not use advertising or analytics cookies on this site. If that ever changes, we will update this policy and ask for your consent first.

7. How long we keep it

We keep enquiry data only as long as needed to follow up and, where relevant, to maintain a working relationship. If you would like us to delete your data, just ask.

8. Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct or delete it.
  • Object to or restrict how we use it.
  • Request a copy of your data in a portable format.
  • Withdraw consent at any time.

9. Security

We take reasonable measures to keep your data safe and limit access to it. No method of transmission over the internet is fully secure, but we work to protect your information and review how we handle it.
